This Privacy Policy explains how we collect, use, disclose, and protect information when you visit our website, use our platform, or interact with our services on behalf of a clinic or as a patient.

When Anservo processes protected health information ("PHI") on behalf of a covered clinic, we do so as a business associate under a Business Associate Agreement ("BAA"). This policy supplements, and does not replace, obligations under applicable BAAs and HIPAA.

Information you provide directly. We may collect names, email addresses, phone numbers, clinic or business names, job titles, demo requests, support inquiries, and account credentials when you register, request a demo, or contact us.

Patient and caller information. When patients call or message a clinic using Anservo, we may process names, phone numbers, appointment details, call transcripts, voice recordings, insurance or billing details shared during the conversation, and other information needed to schedule care or respond to inquiries.

Automatically collected information. We collect device and usage data such as IP address, browser type, pages viewed, referring URLs, and timestamps. We use cookies and similar technologies on our marketing site to understand traffic and improve performance.

Payment and billing. If you purchase services, payment information is processed by our payment providers. We do not store full payment card numbers on our servers.

Anservo is built for HIPAA compliance. For clinic customers subject to HIPAA, PHI is handled under a BAA with administrative, technical, and physical safeguards including encryption, access controls, audit logging, and workforce training requirements.

Clinics remain responsible for determining whether a communication channel is appropriate for the sensitivity of information shared, obtaining patient authorizations where required, and configuring Anservo workflows in line with their policies.

5. How we share information

SMS / Text Messaging

When you opt in to receive text messages from a clinic through Anservo, we collect your mobile phone number and a record of your consent. We do not sell or share your mobile phone number or your SMS opt-in / consent information with any third parties or affiliates for their own marketing or promotional purposes. Your mobile information is shared only with the service providers that help us deliver the messaging (for example, our messaging carrier), and only to operate the service. Message frequency varies based on your appointments and interactions. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help.

6. Data retention

We retain information for as long as needed to provide services, meet legal obligations, resolve disputes, and enforce agreements. Clinic customers may configure retention settings where available. Call recordings and transcripts are retained according to clinic policy and applicable law.

We implement safeguards designed to protect information, including encryption in transit and at rest for sensitive fields, role-based access, monitoring, and incident response procedures. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your choices and rights

Clinic users. Account holders may update profile information in the platform or by contacting us. Access and deletion requests for clinic account data can be submitted to privacy@anservo.ai.

Patients. Requests related to medical records or PHI should generally be directed to the clinic that provided your care. We will assist clinic customers in responding where we process data on their behalf.

Marketing opt-out. You may unsubscribe from promotional emails using the link in the message or by contacting us.

Depending on your state of residence, you may have additional rights under applicable US privacy laws. We do not discriminate against individuals who exercise privacy rights.

9. Children's privacy

Anservo is intended for use by clinics and adults. We do not knowingly collect personal information from children under 13 through our marketing site. If you believe a child has provided information to us, contact privacy@anservo.ai.

10. International users

Anservo is designed for US clinic operations. If you access our services from outside the United States, you understand that information may be processed in the United States, which may have different data protection rules than your jurisdiction.
